This policy applies to MyGuide at ai.researchramp.com (the "platform"), a service of Research Ramp Private Limited. Where it differs from the general privacy policy on researchramp.com, this policy decides for the platform.
This policy explains what personal data Research Ramp Private Limited ("Research Ramp", "we") collects through this platform, why, who helps us process it, where, for how long, and the rights you have. Research Ramp decides how and why your data is used (under India's Digital Personal Data Protection Act, 2023 we are the "data fiduciary"; under the GDPR, the "controller"). We collect only what we need to do your work.
In short
- Your research and files are used only to do the work you ask for.
- We never sell your data, never use your files to train AI, and never send your work to journals or anyone else without your instruction.
- We use a few trusted, contract-bound services to run the platform. Some are outside your country (section 4).
- You can see, correct or delete your data at any time by writing to contact@researchramp.com.
1. What we collect
- Contact details: your name, email address and career stage.
- About your research: what you type into the platform, your field, keywords, countries, target journals, deadlines and your answers to our questions.
- Your files: manuscripts, data, scripts, figures, ethics letters and other files you upload. These may contain personal data about other people, such as study participants; please anonymise them wherever you can.
- Account and payment records: your plan, payments, invoices and use of paid work. Card and bank details go straight to the payment provider; we never see or keep them.
- Technical data: one essential login cookie, one cookie remembering your currency, and short-lived records (such as IP address and time of request) used to keep the platform secure and stop abuse. We use no advertising or tracking cookies and no third-party analytics.
2. Why we use it, and on what basis
- To provide the work you ask for and show you your results (your consent, and our contract with you).
- To log you in with a one-time email code and keep your account secure (contract; our legitimate interest in security).
- To take payments, issue invoices and keep tax records (contract; legal duty).
- To keep an internal record of where AI helped with your paper, so the AI declaration we prepare for you is accurate (contract; research integrity).
- To prevent abuse and fraud, including limits on free results (legitimate interest).
- To meet legal duties and answer lawful requests from authorities.
We send you emails about your account and your papers. We send marketing emails only if you ask for them, and every one has an unsubscribe link. You can withdraw your consent at any time (section 6). Withdrawing does not affect what was done before, and we may then be unable to continue the work.
3. Who helps us
We never sell your data. We use these service providers, who may use your data only to provide their service to us, under written confidentiality and security terms:
- AI processing: Anthropic, PBC (USA), which processes what you type and your files to produce your results. Under its commercial terms the AI provider may not use your content to train its models, and it deletes what we send it within 30 days, except where it must keep data longer for safety or legal reasons (checked on 2 October 2026).
- Research databases: OpenAlex, Crossref and similar public scholarly databases, which receive only search terms such as keywords, journal names and DOIs, never your files or contact details.
- Email delivery, for login codes and updates.
- Payments: Razorpay, Stripe and PayPal, which handle payments under their own privacy policies.
- Hosting of the platform and your files, in [to confirm: server location].
We may also disclose data where the law requires it, to protect our rights or users' safety, or to a business that takes over the platform (which must then keep this policy's promises). Our staff see your files only when needed to work on your order.
4. Services outside your country
Some of the services above are based in other countries; for example our AI provider processes data in the United States, and our hosting is in [to confirm: server location]. So your files and details may be processed outside your country, including outside India and China. We choose only providers bound by written terms to keep your data confidential and secure and to use it only for our service; where the law requires, we rely on recognised safeguards such as standard contractual clauses. Because some laws require your separate agreement for this, we ask for it with its own tick box when you start a paper. You can withdraw it at any time; we then stop processing your files.
5. How long we keep it
- Files: until your paper is published, then deleted within 90 days, unless you ask us to delete them sooner.
- Account details and order history: while your account is open, then deleted within 90 days of closing it.
- Payment and tax records: as long as tax and company law require.
- Security records: a few weeks, unless needed to investigate abuse.
- Login codes: stored only in scrambled form and useless after 10 minutes.
6. Your rights
You can ask us to: tell you what personal data we hold and how we use it; correct or update it; delete it; withdraw your consent; and name someone to exercise your rights if you die or cannot act. Depending on where you live you may also have the right to object, to restrict processing, or to receive your data in a portable form. Write to contact@researchramp.com; we may need to confirm it is you, and we reply within 30 days. We do not charge for this.
Complaints: please contact our grievance officer first: The Grievance Officer, Research Ramp Private Limited, contact@researchramp.com. If you are not satisfied, you may complain to the Data Protection Board of India, or to the data protection authority where you live.
7. Automated results
Some results, such as journal fit scores and manuscript checks, are produced automatically with AI and our scoring methods. They are advice for your paper only and have no legal or similarly significant effect on you. You can always ask for a person to review a result.
8. How we protect it
- Each order's files are kept apart from every other order and are visible only to you and the staff working on it.
- Login by one-time email codes; no passwords to steal. Codes and sessions are stored only in scrambled form.
- Encrypted connections, strict browser security settings, checks on every uploaded file, and limits that stop abuse.
- If a breach affects your personal data, we tell you and the authorities as the law requires.
No system is perfectly secure, but we work hard to protect your data and review our safeguards regularly.
9. Children
The platform is for adults. We do not knowingly collect data from anyone under 18; if we learn we have, we delete it.
10. Changes
If we change this policy in a way that matters, we tell you by email or on the platform before the change applies. The version you agreed to is recorded with each paper.
